Conference videography showreel — twenty years in two minutes.

Most people who hire a conference videographer in London want one specific thing — a short, sharp highlight video they can push out to social, send to attendees, and use to sell next year's event. That's the centre of what we do, and it's been the centre of the work since 2006. We also film full session captures of every talk on the programme, and live stream conference sessions when an event needs to reach an audience beyond the room — but the highlight video is what most briefs come back to.

Conference highlight videos

A highlight video is the most-watched, most-shared piece of content most conferences ever produce. Done well, it does several jobs at once: it raises the profile of the event, brings the conversation back to it after the doors close, advertises the next edition, and gives attendees something to share that reminds them why they came.

The recipe is fairly simple. We capture clips from the main sessions, keynotes and panel discussions, and we get the things that aren't on the agenda — the networking, the moments around the edges, whatever makes a particular event feel like itself. Then we tie it together using interviews and testimonials from attendees, speakers and industry leaders, so the final film tells a story rather than feeling like a montage.

Length matters. We've made conference highlights anywhere from one minute to five, but the sweet spot for most events is around two minutes — long enough to carry a real narrative, short enough that people actually watch to the end. We usually deliver several cuts of the same shoot:

  • A 30 to 60 second cut, optimised for social
  • The main 2 to 3 minute highlight reel
  • Sometimes a longer 5 to 10 minute cut, more documentary in feel, for the trade press and the wider industry audience

The same package is usually a strong sponsor asset. Sponsor logos appear in shot, but more importantly, sponsor reps end up in the interviews — their soundbites become part of the narrative, and their branding can be woven through the edit either directly or in situ. That's a meaningful piece of value to take back to a sponsor when you're asking them to renew.

Full session capture

Some events need every talk on the record. For full session capture we usually film with two or three cameras — sometimes four — to cover the speaker close-up, a wide shot of the stage and screen, an audience camera for questions and reactions, and where slide legibility matters, a fourth camera dedicated to slides.

Multi-camera capture isn't just about the visuals. It also lets us cut presentations down into shorter chunks afterwards, drop the dead time between segments, and remove anything that wasn't supposed to make the final edit. Each session gets delivered as a clean, watchable file with on-screen titles and slide overlay.

A highlight video shoot can usually be done with one or two videographers. Full session capture across multiple parallel rooms typically needs more crew. We can also bring a photographer in on the same shoot if you want photo and video coverage from one team.

How a typical conference shoot runs

  1. Pre-production call — a 20-minute conversation to confirm the venue, run-of-show, deliverables, and any specific speakers or moments we should prioritise.
  2. Site visit — for venues we haven't worked at before, a quick walk of the stage to identify camera positions and agree the audio feed source.
  3. Setup — typically 90 minutes to two hours before doors. Cameras rigged, audio confirmed from the venue desk, comms tested.
  4. Shoot day — full day on-site. Live mix produced and recorded, isolated camera files captured for post.
  5. First cut — highlight rough cut delivered within a week. Full session captures within ten days.
  6. Revisions — up to two rounds, then final delivery in 4K, HD and any platform-specific social cuts.

Sample budget

For a one-day conference with a 2-3 minute highlight reel and a short 60-second social cut, budget around £1,500. Adding full speaker session captures takes it to £2,200 and up, depending on how many videographers and cameras the shoot needs. Multi-day events, live streaming, additional interview packages and same-day social cuts all change the figure. Send a brief and I'll come back with a fixed price within 24 hours.

Case study — Pi Live (Performance Marketing Conference)

Fifteen highlight videos for what is now Pi Live, but which has run under a few names over its twenty-year history — Performance Marketing Insights and A4U Expo earlier on. It's widely recognised as the most important global conference in performance marketing, and it has the atmosphere to match: lively, networking-heavy, with a lot of facilitated time for publishers and vendors to actually meet each other.

Each year we cover the whole event end-to-end — the main sessions, audience interaction, the networking, the branding and stalls from the sponsors, and the back-and-forth in the panel discussions. We aim to record around ten interviews with sponsors and industry leaders, then pull soundbites from those to build the narrative spine of a tight two-minute highlight reel that reflects the upbeat energy of the event itself. The full interviews get packaged separately and delivered as standalone content for use on social through the rest of the year.

"We've been using Ian and the Promo Video team for many years. They always produce exciting and vibrant videos that are bang on spec. Recommended!"

— Matthew Wood, Pi Live

Case study — Speakers Corner

Over fifty videos for Speakers Corner across the years. Speakers Corner represents public speakers and entertainers, mainly for corporate events. Their flagship is a recurring showcase evening at The Brewery in London — five short TED-style talks in front of an audience of industry professionals, with informal networking before and after.

For each showcase we make a highlight video that combines short clips from each talk, audience interaction, close-ups of any relevant slides, and brief audience testimonials about which speakers landed and why. We also cover the networking drinks beforehand and feature the venue itself, since The Brewery co-hosts the events. Before the showcase we sit down with each of the speakers individually for a longer interview cut to about three or four minutes — these get cross-cut with clips from their talk on the night.

The main event is usually filmed with three cameras and two videographers. We've also brought in 360° cameras on some shoots, partly to deliver VR experiences of the events themselves, partly because the 360° angles double up as a useful wide audience shot we can crop and pull stills from in the edit.

"Ian comes to us with creative ideas and always seems to capture the moment in the edits — we can rely on him to take 1.5 hours of film and pick out all the necessary highlights. Professional, efficient on the day, and turns around final edits super quickly."

— Tim Gold, Speakers Corner

Case study — Access Pay at the Barbican

A large for Access Pay at the Barbican Centre in London, live streamed and live-mixed across four camera angles. The programme was a mix of presentations and panel discussions; the main deliverable was the live stream itself, with a finished cut of the live edit handed over afterwards.

This is typical of a particular kind of conference work where the job is less about the post-production and more about producing a rich live experience in the moment. Online viewers got a constantly varying mix of close-ups on speakers, wider shots that captured the room, slide details when the content called for it, and reaction shots of the audience. Depending on the streaming platform, the online audience could submit live questions which the panel addressed alongside the in-room Q&A.

"The Promo Video team filmed one of our larger events. They were professional, friendly and very accommodating, and provided live streaming and on-the-fly editing as well as a full video and photography."

— Anthony Konarski, Access Pay

Why work with Promo Video for your conference

Twenty years of conference work in London. A small, regular team — the same camera operators and sound recordist on most shoots, which is what consistency actually looks like in practice. No agency layer between you and the person holding the camera. Most highlight reels deliver within a week. Fixed-price quotes.

If your conference also has a 360° or VR element — a virtual walkthrough of the venue, an immersive replay of a keynote — that side of the work runs through our sister studio Catch Reality. Same director and crew, so a hybrid shoot stays a single project with one combined fee.

FAQ

Frequently asked questions

Do most conferences need a highlight video or full session capture?

Most ask for a highlight video — a 2-3 minute promo edit that's compact enough to share, plus shorter cuts for social. Full session capture comes in when an event needs every talk on the record, usually for an industry that wants to study or re-watch the content.

How long should a conference highlight video be?

Around two minutes is the sweet spot — long enough to carry a real narrative, short enough that people actually watch to the end. We usually deliver several cuts of the same shoot: a 30-60 second social cut, the main 2-3 minute version, and sometimes a longer 5-10 minute documentary cut for the trade press.

How many cameras do you bring to a conference?

For full session capture, typically 2-3 cameras: a speaker close-up, a wide shot of the stage including the screen, and an audience camera. A fourth camera dedicated to slides goes in when slide legibility matters. A highlight-only shoot can usually be done with one or two videographers.

Can you take a feed from the venue mixing desk?

Yes — that's our preference for clean speaker audio. If a desk feed isn't available, we set up our own radio mics for speakers, a board mic on the lectern, and ambient mics for audience reaction.

How quickly can we get the highlight reel?

A first cut within a week of the shoot, with up to two rounds of revisions before delivery. Faster turnaround is possible — tell us the deadline up-front.

Do you live stream conference sessions?

Yes — to YouTube, LinkedIn, Vimeo or any RTMP-capable platform. The stream is multi-camera mixed with on-screen titles, lower-thirds and live graphics. The mix is also recorded so you have a finished version of the session immediately.

What's the cost for a one-day London conference?

From £1,500 for a 2-3 minute highlight video and a 60-second social cut. From £2,200 if you want full session captures included, depending on how many videographers and cameras the shoot needs. Live streaming, additional interview packages and same-day social cuts all change the price. Send a brief and we'll quote within 24 hours.

Do you film conferences in 4K?

Yes — all cameras shoot 4K by default. We deliver in 4K, HD or platform-optimised social cuts as required.
